Buffalo Bill Historical Center Loan Conditions Policy
October 16, 2007
Dear Colleague:
Please be advised that due to the increasing volume of requests for loans from the Buffalo Bill Historical Center, we have implemented the policies listed below. Evaluating requests and processing loans are time-consuming tasks, as you know, and in the future if requests are not received within the time frames outline, most will have to be denied.
Loan requests for foreign venues, including exhibition opening and closing dates, must be received by the Director’s Office at the Buffalo Bill Historical Center at least ten months in advance of the opening date. All supplementary materials for a foreign request (facilities reports, hygrothermograph readings, insurance provisions, etc.) must be received at least six months in advance of the opening date.
Loan requests for domestic venues, including exhibition opening and closing dates, must be received by the Deputy Director of Collections and Education’s Office at the Buffalo Bill Historical Center at least eight months in advance of the opening date. All supplementary materials for a domestic request (facilities reports, hygrothermograph readings, insurance provisions, etc.) must be received at least four months in advance of the opening date.
Information on any additional venue(s) or changes of date for any venue(s) requested for an exhibition tour after a loan has been approved by the Buffalo Bill Historical Center must be submitted for review at least three months in advance of the exhibition opening date.
At the Buffalo Bill Historical Center’s discretion, the borrower may be requested to prepay estimated loan expenses. Such payments must be received prior to shipment and no later than indicated on the invoice. Otherwise, expenses already incurred must be paid and the loan is subject to cancellation.
Please note that while all loan requests should be directed to me, any questions or concerns that you may have about these policies should be brought to the attention of Elizabeth Holmes, Registrar, or by phone at 307-578-4023. It would be appreciated if you would circulate this letter within your institution as appropriate.
Thank you for your understanding and cooperation.
Sincerely,
Robert B. Pickering, Ph.D.
Deputy Director, Buffalo Bill Historical Center
